Legal Administrative Assistant - hybrid role for a global law firm client in Los Angeles, CA. This role has a litigation focus. Prior e-filing experience, and 2+ years of law firm support experience is required. Degree is preferred, not required.* This is primarily an administrative position with litigation duties involved.

Responsibilities: Coordinate and work together with the team and provide occasional coverage to others when needed. Work closely to mentor, share knowledge, best practices and answer any procedural or policy questions. Provide guidance when necessary. Schedule client meetings, reserve conference rooms, coordinate A/V equipment and food needs via firm scheduling software. Register guests with Security. Coordinate attorney travel arrangements (domestic and international) and prepare travel itineraries; process travel reimbursements, maintain Outlook calendar. Communicate pertinent information with other team members. Monitor incoming emails as directed. Answer phones, direct callers. Type/proofread general correspondence, memos, legal documents, reports in Excel, etc. Prepare draft communication outlined by lawyer as required. Ensure accuracy and clarity of all work product in a timely manner. Utilize iManage document management system as a central repository for all matter related documents. Maintain attorney time in Intapp Time and submit finalized time to Accounting. Participation in the firm Legal Administrative Assistants Certification Program.

Position Requirements: College degree or attendance ideal. Prior secretarial/administrative work experience in a law firm or legal environment. Must have at least 2 - 5 years of legal administrative assistant experience with some litigation experience required Excellent written and interpersonal communication skills. Attention to detail and ability to multi-task. Ability to prioritize. Ability to maintain confidential information. Ability to manage workflow/delegate, as necessary. Prior experience with iManage Work 10, Microsoft 365, Intapp Time, Intapp OPEN, Chrome River ideal. The salary range is $89k - $112k depending on experience.

Attorney Recruiting Assistant – for prominent law firm in Washington, DC.  This is a hybrid role.  This role supports the summer associate summer program, lateral, judicial clerk and staff attorney recruitment.   

Duties: Assisting the Attorney Recruiting Manager in planning the summer associate program in Washington, DC including planning events, coordinating summer associate arrival and departure dates, and assisting with assignment evaluation collection, as needed. Coordinating law school career services team and faculty to raise the firm’s profile on campus; scheduling career development meetings; interacting with the network of former firm summer associates. Working with the recruiting team and Hiring Committee to implement an overall recruitment strategy. Assisting with callback interview process. Coordinating the on-campus interview process. Planning offer dinners/receptions. Coordinating campus outreach events. Preparing reports and statistics. Assisting the attorney recruiting team to hire and integrate judicial clerks, entry-level and lateral associates, and staff attorneys. Posting open positions on the firm’s external website and other job boards. Maintaining applicant tracking system. Supporting the pre-employment process. Liaison for new employees with other firm departments. 

Position Requirements: Bachelor’s degree. Prior attorney recruiting experience in a law firm, or professional services firm. MS Office proficiency, experience with viDesktop platform is a plus. Knowledge of recruitment principles in a law firm environment. Understanding of current regulations associated with a lawful recruiting process. Strong problem-solving skills. Ability to prioritize and manage time effectively. Flexibility to work additional hours as needed. Salary range is $52k - $58k.

Admin Assistant supporting eDiscovery department of global law firm.  This is a remote role, but candidates must live within commuting distance to the DC office for occasional team meetings. This role assists the team by providing administrative support in departmental processes, and coordinating workflows.

Duties: Track staffing agency and vendor engagement letters, contracts, invoices, and generate related reports. Coordinate with staffing agencies to support the selection and assignment of contract reviewers; assist with logistics, documentation, team formation, project kickoff, monitoring, and closeout. Maintain databases of contract reviewer assignments, performance metrics, and project-level feedback. Tracking staff attorney assignments, project status updates, and workload distribution. Assist with metrics and hours reporting for department personnel and case teams. Facilitate interactions between the department, payroll, and accounting for time and expense entries. Maintain department calendar to track requested and approved leave. Coordinate meetings and events, and assist with travel planning and expense processing.

Position Requirements: Bachelor’s degree preferred. Excellent interpersonal communication skills. Attention to detail and ability to multi-task in a fast-paced environment. Proven ability to prioritize tasks and manage competing deadlines. Must be able to maintain confidential information. Prior secretarial/administrative work. Proficiency with  MS Office suite. Experience with iManage, Intapp, and Chrome River is preferred. Salary range is $55k – 69k commensurate with experience.

Legal Administrative Assistants – for highly regarded law firm in Washington, DC.  These are hybrid roles with 4 days in the DC office, 1 day remote.  These roles are part of teams of 3 Legal Assistants supporting several attorneys, providing high-level secretarial/administrative support.
